Every Device. Every Station. Always Locatable.

From wheelchairs to infusion pumps, know in real-time where each device is and what status is recorded – cross-station, automatically documented, eligible for funding through the hospital transformation fund.

Every Device. Every Station. Always Locatable.
Challenges in Everyday Hospital Life

What Costs Hospitals Money and Care Time Daily.

In every hospital routine, six typical loss sources arise where devices are physically present but not locatable.

01

72 Minutes Search Time per Shift, per Nurse

Nurses spend up to 30% of their working time searching for devices instead of caring for patients. On average, this is 72 minutes per shift. Time that cannot be recovered in an understaffed system.

02

Devices are Hoarded Because No One Trusts Availability

Stations create reserves because they do not know if a wheelchair or infusion pump would be available in case of need. At the same time, identical devices are unused two stations away. Just invisible.

03

10% of Devices are Permanently Missing

On average, every tenth hospital device is considered untraceable. It is repurchased even though it physically still exists. Somewhere. Capital is tied up, but the need is still there.

04

Hygiene Status and Maintenance are Manually Tracked

Whoever uses a device does not reliably know at the moment of use whether it has been properly prepared. Maintenance deadlines run in Excel tables or on paper. Until the next audit question.

05

The Searched Device is Not Locatable in an Emergency

In an emergency, every minute counts. If the team searches for 20 minutes for a heavy-duty wheelchair or a mobile ECG, it is not just stress. It is a supply problem.

06

Digitalization Becomes a Duty from a Wish

The legal pressure on hospitals is increasing. Those who cannot demonstrate digitalization progress risk deductions in remuneration. At the same time, the federal and state governments provide significant funding. Asset Tracking is recognized as a measure.

The Solution

How Asset Tracking Specifically Changes Your Hospital.

This is how our solution brings transparency to your hospital routine.

Location in Seconds

Every device, from wheelchairs to infusion pumps, can be located instantly via the app or browser dashboard. Instead of a 20-minute search, a glance is enough.

Automatic Documentation

Cleaning status and maintenance intervals are digitally recorded and escalated on time. Audit-proof, without Excel lists, without handwritten evidence.

Cross-Station Sharing

When each station sees which devices are currently available, hoarding stops on its own. Stocks can be reduced by up to 30 percent without creating shortages.

Real-Time Loss and Theft Alert

Devices leaving defined areas automatically trigger an alert. What shouldn't leave, doesn't leave.

Usage Analysis for Investment Planning

Dwell time analyses, bottleneck detection, throughput times per processing station – decisions are based on what really happens.

Integration into HIS and Medical Technology Database

Location data, hygiene status, and maintenance intervals automatically flow into the existing IT landscape. Asset Tracking does not run in parallel but enriches the systems you already work with.

How Asset Tracking Specifically Changes Your Hospital.
These Roles Benefit from Our Solution

Asset Tracking in the Hospital: How Hospital Management, Nursing Management, and Station Management Benefit from Track & Trace.

For each role, Asset Tracking offers a different added value. For all three roles: More transparency, less searching, reliable figures instead of gut feeling.

Hospital Management

"We need a solution that reduces our device losses and digitally improves our processes."

  • Measurably reduce device losses and overstock
  • Base investment decisions on reliable usage data
  • Demonstrate digitalization progress to the sponsor
  • Implement fundable measures with clear ROI

Nursing Management

"Our nurses lose time every day searching, which they lack for patient care."

  • More care time at the bedside without creating new positions
  • Hygiene and maintenance status automatically documented
  • Reduce staff burden from unnecessary search paths
  • Better staff retention in a tight labor market

Station Management

"It can happen at any time that we need a special bed or wheelchair in an emergency. But then the search begins."

  • Device location in seconds via app, even in emergencies
  • Cross-station sharing instead of own reserve storage
  • Automatic maintenance alerts without manual Excel maintenance
  • Quick onboarding of new employees without house knowledge
Use Cases

These Devices Make You Visible in the Hospital with Asset Tracking.

From wheelchairs to infusion pumps, mobile ECGs to sterile goods. Asset Tracking covers every device class where money and care time are lost today.

MOBILE DEVICES

Wheelchairs, Beds, Heavy Duty Beds

The most common search objects in everyday hospital life. Usable across stations, often hoarded, often untraceable in emergencies. Sharing instead of hoarding significantly reduces inventory.

THERAPY & DIAGNOSTICS

Infusion Pumps, ECG, Ventilators

High-value mobile devices with high loss rates. Real-time location prevents repurchase, hygiene and maintenance status are automatically documented.

LARGE DEVICES

Ultrasound, Mobile X-ray, OR Equipment

Utilization analyses show where large devices are underutilized and where bottlenecks threaten. Investment decisions are based on real usage data instead of estimates.

STERILE GOODS

Sterile Goods Containers and Preparation Tracking

Seamless documentation of the preparation status, from sterilization to return. Hygiene compliance without Excel maintenance.

EMERGENCY EQUIPMENT

Defibrillators and Emergency Carts

In an emergency, every second counts. The location and readiness of each emergency device are immediately visible in the app, maintenance deadlines are automatically escalated.

Häufige Fragen zu unseren Lösungen

Track & Trace makes every medical device, wheelchair, and infusion pump in the hospital locatable in real-time with room accuracy. Nurses or station management can see on a map where each device is, its condition, and when it was last moved or cleaned. The movement data automatically flows into other systems. Stations stop hoarding devices, wheelchairs, or beds because availability becomes transparent across stations.

Track & Trace solves several cost-intensive problems in the hospital: Nurses spend up to 72 minutes per shift searching for beds, wheelchairs, or other devices. About 10 percent of the equipment is permanently untraceable. Over 40 percent of the inventory is unused because stations hoard out of fear of shortages. After implementation, search time per shift drops to under two minutes, and device utilization increases from under 40 to over 60 percent.

Our Track & Trace solution for hospitals is not a classic inventory system but a real-time location system with automatic status management. Classic asset management tools document what is available at a time X. Our solution shows in real-time where the device is, whether it is occupied, cleaned, or maintained. Movements, hygiene status, and maintenance deadlines are recorded without manual booking and transferred to HIS and station cockpit.

In the hospital, BLE is the primary location technology for medical devices, supplemented by WiFi in existing infrastructure and Wirepas-Mesh for large hospital areas. SmartMakers RTLS combines these technologies in one platform, so you get the right accuracy per zone: room accuracy on the station, building-wide on the campus, without a second island solution. GPS is added for outdoor areas.

With our Track & Trace solution, all mobile medical devices and nursing aids can be tracked in the hospital. This includes infusion pumps, ECGs, ventilators, ultrasound, wheelchairs, beds, lifters, mobile monitors, and endoscopy carts. Emergency kits, defibrillators, and medication coolers are also integrated. The BLE tags are small, battery-powered, and attached to the device once.

Hygiene and maintenance status are digitally managed in our Track & Trace solution and linked to movement and usage data. After a defined usage interval, a device automatically changes to the status "Preparation required" until cleaning is confirmed. Maintenance and inspection deadlines according to MPBetreibV are monitored, due devices are digitally locked and escalated to medical technology. Stickers with handwritten inspection data are no longer needed.

Our Track & Trace solution for hospitals can be directly connected to HIS, medical technology databases, and station management software via REST-API. Movement data, hygiene status, and availability are written as events into the target systems, without creating a parallel world alongside the existing IT.
